Invoice Follow-Up Email Templates

You don't need to write a new email every time an invoice goes quiet. You need a sequence. The same reminder, in the same order, sent on a schedule, with the tone rising only when silence continues.

Here's the sequence and the templates to go with it.

The eight-stage sequence

Stage Timing What it says
Heads-up 7 days before due "No rush, just putting it on your radar."
Due today on the due date "This is due today."
First reminder 1–3 days after "This may have slipped through."
Second reminder 7 days after "This is now a week overdue."
Payment plan 14 days after "Can we agree a plan?"
Formal notice 30 days after "This is formal notice."
Interest 60 days after "Statutory interest now applies."
Final notice 90 days after "Final demand before action."

The rule: don't skip stages, and don't jump to firm on day two. Most invoices get paid at stage one or three. Escalating early is how you lose a client over a payment that was just forgotten.

Three tones, one fact pattern

Every email carries the same facts: invoice number, amount, due date, and a payment link. Only the tone changes.

Loyal — you assume the best.

Subject: Invoice #1042 — quick check-in

Hi Sam, just checking in. Invoice #1042 for $850 was due on the 12th and may have slipped through. No worries — let me know when to expect it, or pay here: [link]

Neutral — you state the facts and ask.

Subject: Invoice #1042 — past due

Hi Sam, we haven't received payment of $850 for invoice #1042, due on the 12th. Please advise when we can expect it: [link]

Firm — you state the deadline.

Subject: Invoice #1042 — 7 days overdue

Sam, invoice #1042 for $850 is now 7 days overdue. This is our second notice. Please pay by [date] or advise a payment date: [link]

Same invoice, three different relationships. Choose the tone that matches the client, and let the sequence do the escalating for you.
